The technology administrator & process specialist focuses on improving the efficiency of the technology department and the flow of information inside the tech team as well as with other teams.
The role supports the technology team with administrative and process tasks, such as the creation of the POs, preparing reports and documents, assisting with travel arrangements, maintaining technology team document space both in files and on the document platform, assisting in relation and collaboration with a finance team, maintaining technology calendar and similar.
In executing this line of work, this role supports the creation and improvements of our processes in an agile mindset and is able to creatively use automation and modern tools to improve the daily work of the technology team.


 key responsibilities

Provide technology support by gathering information, preparing reports (KPls, the budget spends, financials, etc.), proofreading documents
Maintain files & file systems of technology
Maintain contract status and facilitate renewals in time in coordination with procurement
Collaborate with procurement in maintaining correct information about vendors, partners, and our agreements
Arrange appointments by maintaining the team’s calendars, rescheduling appointments when conflicts arise
Assist the team with travel arrangements in more complex cases
Keep the information confidential when necessary, and in accordance with citizenM’s information security policy
Administration of collaboration tools such as Jira, Confluence, Lucid, Slack
Support technology processes across the company – change management, ways of working, releases
Analyse incoming technology requests and distributes them to the teams;
Creator of purchase order number for the tech department;
Facilitating and assisting the team’s requests and relations with core suppliers;
qualifications / skills

Proficient in using different financial, administration, and office online solutions (G-Suite, HR applications, financial applications….)
Excellent communication skills, verbal and written, in English and at least one additional language
Fantastic at planning and scheduling
Able to multitask and work on both regular or ad-hoc deadlines
Team-wide thinking
Great attention to detail
Automation experience is a plus
Agile experience is a plus
Understanding financial processes is a plus
